Agent Services Coordinator


Berkshire Hathaway PenFed Realty is hiring an Agent Services Coordinator in Alexandria, Virginia. The primary purpose of this job is to support the administrative functions of the Professional Services Department. This role will provide full-service support and act as a central point of contact for transaction processing, data entry, licensing, and additional agent services for offices across the region. Additionally, this role will collaborate across departments to provide best-in-class support to our offices to ensure agent success.

Essential Functions

  • Support branch office transaction processing across the region.
  • Provide onsite branch office administrative support as needed.
  • Administer incoming support requests from offices and ensure that issues are resolved both promptly and thoroughly.
  • Add/renew licenses and associations as required (ex: HUD, MRIS, and Boards, RE licenses).
  • Process office supplies order.
  • Maintain trigger marketing enrollments, processing, maintenance and reports.
  • Update agent records within data processing system.
  • Review department's invoices and allocate expenses to respective cost centers.
  • Maintain company forms and supply inventory.
  • Develop and distribute department reports.
  • Participate in department meetings.
  • Support adding/removing users from company programs and tools as needed.
  • Support planning and execution of company events including trade shows, awards/sales rally, meetings, etc.

Education and Experience

Equivalent combination of education and experience is considered.

  • Bachelor’s Degree preferred
  • Minimum of two (2) years of equivalent experience required
  • Excellent written and verbal communication skills, solid organizational skills including attention to detail and multi-tasking ability.
  • Extensive knowledge of Microsoft Office.
  • Strong sense of accountability for the agent experience and desire to provide best in class support.
  • Manage internal and external resources to achieve goals, ability to work independently as well as in a team environment.
  • Maintain confidential information with discretion.

Supervisory Responsibility

This position will not directly supervise employees. This role will serve as a senior mentor for ASAs in assigned regions. 

Licenses and Certifications

There are no additional licenses and/or certifications required. 

Work Environment

While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise.

*Most roles require working in an office setting with moderate noise and the ability to lift 25 pounds.*


Possible travel to operational locations, including occasional overnight travel.
