Assistant Property Manager

Summary

PenFed is hiring an Assistant Property Manager in Richmond, Virginia. Assistant Property Managers will support the property manager and other property management team members with assigned maintenance tasks, leasing issues, billing or property services with regards to owners, tenants, vendors and staff.  They will work closely in supporting the Property Manager and handling all operations of office duties.

  • Handle all routine maintenance inquiries by assigning appropriate vendor(s), create work order.
  • Communicate with the Property Manager, Owner, and or Tenant regarding maintenance issues.
  • Track all maintenance issues  to ensure job was performed
  • Approve appropriate invoices, close work order.
  • Handle all Home Owner Association Maintenance violation issues.
  • Communicate with all appropriate parties regarding such violation, track for completion during required dead line.
  • As necessary, implement processes that improve the work flow of position.
  • Add new vendors to the system, track W9, insurance information.
  • Responsible for mailing out all Monthly Lease Expirations to tenants.
  • Keeping track of all lease expirations that are received/not received and following up with the appropriate Senior Property Manager.
  • Handling all utilities for any property that will be vacant for a period of time.
  • Processing all utility payments received for vacant properties.
  • Contacting tenants if utilities have not been set up prior to move-in date.
  • Uploading Tenant Renter’s Insurance and new properties into Propertyware.
  • Handling all HOA information regarding Parking stickers, pool passes, facility key distribution and sending to the tenant for their use.
  • Handling HOA Violation letters that pertain to the tenant violating one or more of the association’s rules/regulations by mailing out a letter informing them of their violation.
  • Pulling up a monthly report of all three Senior Property Manager’s properties showing what tenants have not paid rent.
  • Mailing out a 5-day letter to a tenant who has not paid their rent along with a copy of their monthly statement giving them their outstanding balance.
  • Attending Quarterly Property Management Meetings and any other meeting that may arise.
  • Answering phones and helping both owners and tenants with questions/concerns.
  • Process Rental Applications.
    • Pulling credit report & analyze for approval under guidelines.
    • Communicate with Landlord for approvals.
  • Prepare Leases.
  • Prepare commission paperwork.
  • Process lease renewals.
    • Negotiate new rate with Landlord and tenant.
    • Create renewal lease.
    • Create renewal invoice.
    • Track and follow up on renewals.
  • Upload/maintain proper documents to Propertyware.
  • Support the Property Manager and remaining team members as necessary, overlapping job responsibilities to cover during breaks, vacations, etc. 

Education and Experience

Equivalent combination of education and experience is considered.

  • Associates degree in a related field or a combination of education and experience that provides necessary skills and knowledge to satisfactorily perform the essential job functions.
  • At least 3 years related experience is required.  Real estate license is preferred or willingness to obtain license, previous experience in real estate or property management may be required.
  • Excellent business communication skills and the ability to multi-task and are critical. 
  • Strong organizational and interpersonal skills required.
  • Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook, MS Publisher).

Supervisory Responsibility

This position will not directly supervise employees.

Work Environment

While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise.

*Most roles require working in an office setting with moderate noise and the ability to lift 25 pounds.*

Travel

Limited travel to various worksites is required.
